Check the document set before the takeoff
Before testing AI estimating, confirm the drawing register, revisions, scale, scope and source of each quantity. Compare against a checked takeoff for the same scope; final job costs may include later variations.
I’d split the test into document control, extraction and estimator review. A tidy total can hide a missing drawing or an old revision. Use this register to make those problems visible before comparing tools.

Separate the steps before comparing products. A tool that helps count one type of item may not read the specification, maintain your rate library or understand a revised scope. Ask which steps are supported and which are still manual.
- Document control: selecting the relevant files and identifying their revisions.
- Takeoff: recording counts, lengths or areas with a traceable drawing source.
- Pricing: applying checked rates and recording assumptions.
- Drafting: assembling scope, inclusions, exclusions and clarification questions.
The categories, and how to judge each one
Test a dedicated takeoff tool on the symbols, scale and drawing quality you receive. For a wider estimating platform, check how its proposed AI output connects to the existing estimate and revision history. For rate matching, ask how missing or outdated items are handled.
General assistants such as Claude or ChatGPT can be assessed for drafting and document questions. Treat their proposed facts and numbers as items to check against the source. Their presence in a workflow does not establish that a takeoff is correct.
Procore’s drawing revision documentation provides a concrete example: existing takeoffs remain linked to the drawing version where they were created, and revised drawings need review. Check the equivalent behaviour in any product you trial.
The three-job test
I’d use three varied completed jobs as a starting test set, not as statistical proof of reliability. Include different drawing quality and at least one revision change.
- Define the scope and document revision for each test. Keep a checked reference takeoff for that same scope.
- Run the same permitted inputs through each candidate. Record any setup or vendor assistance.
- Compare quantities, units and omissions item by item. Investigate an unexplained difference even if the totals happen to match.
- Include review, corrections and setup in the time record.
- Reconcile later variations before comparing an original estimate with final job cost. They may describe different work.
What to include in the cost comparison
Get current pricing directly from each vendor. Compare the unit they charge for, limits, setup, training, rate-library maintenance and support. Use your trial’s review time rather than a vendor’s headline saving in the business case.
Do not assume every saved minute becomes cash or additional work. Record what the team would use the capacity for, and verify that the checked result remains suitable for the job.
Where estimating fits in the wider picture
Estimating may be a good starting point if its volume and review effort justify the trial. For another business, job notes or quote follow-ups may be easier to improve. Compare those workflows before choosing.
