The idea, mapped out

How I would work through the decision

The starting point is your work, rather than a particular tool.

  1. 01

    Show the workflow

Bring a real example, the tools involved and where you get stuck.

  2. 02

    Choose an approach

Compare a simpler process, an existing tool and a separately scoped build.

  3. 03

    Review what happened

Try the agreed next step and use the result to guide the next decision.

A useful next step has an owner, a clear purpose and a way to check whether it helped.

Why Melbourne businesses ask for advice instead of a build

Most Melbourne owners I talk to have already had a go at this. They have sat through the agency pitch, been quoted a discovery phase with a monthly retainer bolted onto it, and left with the feeling that a solution was being sold before anyone had understood the problem. That instinct is usually correct. The proposal gets priced off what the agency can build, not off what the business needs.

Melbourne's business mix is broader than Sydney's and that changes the work. The retail and e-commerce head offices here deal in volume: product copy, customer service queues, returns, supplier chasing. Hospitality groups run on rosters, orders and the constant admin of keeping venues staffed. The design and creative studios through Cremorne, Richmond and Collingwood have the opposite problem, because their output is the product, and pushing AI into it carelessly damages the exact thing clients pay for. Out through the west and the south east it is manufacturers, distributors and logistics operators whose real issue is quoting and getting information out of systems that do not talk to each other.

The startup density both helps and hurts. Melbourne founders tend to be further along than most, so the conversation is rarely about what a language model is. It is usually some version of: we built something with it six months ago, it half works, nobody uses it, and we cannot tell whether to fix it or bin it. That is a sequencing and adoption problem rather than a technology one, and it is the single most common thing I get asked to unpick here.

For any business that sells craft, the useful question is where AI belongs behind the line rather than in front of it. Drafting the internal document nobody enjoys writing, summarising the client call, assembling a first-pass proposal out of the last ten: that gives hours back without touching what the client sees. Getting that boundary right matters more in Melbourne than in most Australian markets, and it is usually the first thing we settle in a session.

What Melbourne businesses ask me

  • We have a proposal in front of us. Is it worth signing, and what should we cut from the scope before we do?
  • Our content team burns most of the week on first drafts. Can we get that time back without everything sounding like everyone else?
  • We run five systems and none of them talk. Is AI the fix, or is that just an integration job we keep avoiding?
  • We tried this last year and it flopped. What would we do differently the second time?
  • Where is the line for us between using AI internally and putting it anywhere near client-facing work?

To be clear about logistics: I am based in Brisbane, sessions run over video, and there is no office to visit. Through the daylight saving months Melbourne runs an hour ahead of Queensland, so an afternoon slot usually suits both ends better than an early start, and from April to October we are on the same clock anyway.
